Why ready-made tools were not enough
The workshop did not start out wanting a custom system - it searched first. Booking tools could take orders but knew nothing about the vehicle or its history; service software knew jobs but had no website customers could book through themselves. Every tool covered a piece of the problem and the gaps were bridged by retyping - exactly where mistakes grew and time drained away. So one whole was built instead.
How an ordinary day works
The customer picks a service, a day and a free slot on the website - the booking is accepted automatically and taken slots are simply never offered, so double bookings cannot happen. The customer gets a confirmation with a calendar invitation; the workshop gets an alert via Telegram, e-mail and push.
Staff see the day on the calendar and on the mechanic's board, and open a card with the full history for every vehicle. A tyre service adds the tyre hotel: stored sets including their position in the store, a delivery note and a tyre-change calendar for the seasonal peak.
Brings customers back without manual work
The system sends reminders for MOT, oil changes and seasonal tyre swaps on its own, asks for a Google review after a visit and nudges customers who have not been in for a while. Vehicles come back without anyone ringing round - it all runs in the background, not on staff time.
Who sees what in the workshop
A workshop is not one person. The mechanic needs today's appointments and jobs on the screen, not the client file, price lists and invoices - and the owner does not want settings and accounts to be editable from anywhere. CarBox therefore has three roles and each one sees exactly as much as it needs.
Bookings, jobs with chat and the workshop TV board are open to anyone on the team. The calendar with slot blocking, clients with their vehicles and service books, quotes, protocols and tyre storage are for the owner and staff. Invoices, prices, website content, settings and accounts stay with the owner alone.
This is not just one more login. A shared password means everyone sees everything and nobody knows who changed what; separated roles are the difference between a system and a shared way into the admin.
